Standard symposium registration fees include participation in all Symposium sessions for which the attendee qualifies;
breakfast snacks(1), coffee breaks, and lunch Tuesday through Thursday; the evening Exhibitor Reception;
a copy of the Symposium proceedings; and a complimentary one-year DEPS membership. In addition, all Annual
Symposium registrants can participate in the Directed Energy Student Workshop at no
additional cost.
(1)Government registration fees includes participation in all Symposium sessions for which the attendee
qualifies, evening Exhibitor reception, lunch Tuesday through Thursday and proceedings. Breakfasts
are not included with the government registration; however, they will be available as an additional separate
purchase.
(2) Esteemed Leaders are retired DEPS members willing to volunteer for 2 half days of service as well as attend the Roundtable Reception.
In exchange for their help in putting on a successful program we can offer a reduced rate for their attendance to the overall
symposium. Please contact cynnamon@deps.org for more information.
(3) Full-time students will be admitted at no charge provided they (1) attend the DE Student Workshop and are
presenting at either the Symposium or the Workshop, and/or (2) agree to assist DEPS staff for a half day of service, such
as operating computers in the technical sessions or door-guarding. All other students will be required to pay the full registration fee.
Note that short courses are free for all student registrants regardless of their volunteer/presenter status. However
the stand-alone
short course registration form must be used if one is not a qualifying student for the Symposium.
Please be sure and review the Security
requirements below for this event as they may have changed from previous Symposia.
Persons requesting cancellation through 9 March will receive a full refund. Cancellations after
9 March are subject to a $100 cancellation fee. No refunds will be given after 31 March.
Roundtable Reception
The DEPS Roundtable Reception* is designed to give students and early career professionals (ECPs) the opportunity to network and connect with some of
directed energy's esteemed leaders. Whether you are currently on the job hunt, seeking advice about professional growth, or simply hoping to learn about
possible career paths, this event is an excellent opportunity to expand both your knowledge base and your network of contacts.
This year's reception will be held Monday, April 3 from 1730-1900 at symposium hotel. Don't miss your chance to exchange ideas
and critically engage with fellow academics and the esteemed leaders of the DE community.
*Please note, this reception is limited to current students and early career professionals only.
Appetizers and 1 drink ticket (must be 21 or older) will be provided to attendees.
Security
The 2023 DEPS Annual S&T Conference will be composed of classified, unclassified, and limited distribution (CUI) sessions.
The plenary session and exhibitor's reception will be open to all attendees. The parallel technical sessions will be held at open,
limited distribution (CUI), and classified levels.
The highest level of classified information to be presented at the 2023 Annual S&T Symposium
is SECRET/NOFORN. Participation in the classified sessions is restricted to U.S. citizens from government,
industry and academia with appropriate security clearances and having satisfied any facility access requirements.
Please note that some sessions at the Symposium, while unclassified, will be CUI/Distribution C and D, which restricts participation in those sessions to
U.S. citizens who are employees of the U.S. Federal Government or its contractors (C), or employees of the Department of Defense or its contractors (D).
If you do not meet this requirement, you may be unable to attend every session even if you have submitted a classified visit request.
In accordance with the Information Exchange Agreements between the United States and the United Kingdom governments,
employees from the United Kingdom government are welcome to participate in those CUI and classified sessions that have
been given approval by the presenter's local Foreign Disclosure Officers (FDOs). Presenters are encouraged to submit
their presentations to their FDOs in a timely manner for UK approval and to let DEPS staff know when/if their
presentation has been approved before the event.
Note that a picture ID will be required at check-in and upon entry into the classified and CUI sessions.
Laptops, cell phones, smart watches, and other such electronics will not be allowed in the classified sessions;
please do not bring them to the classified meeting site. Videotaping, photography, and audio recording of any
session at this meeting is prohibited. Note taking will not be allowed in classified sessions.

Eligibility and access for all DoD government and contractor attendees will be verified using DISS. Please send a visit notification to

Attendees not having access to DISS may submit their classified visit request via fax according to the
instructions to the right. Note that only those without access to DISS may use this method.
Any faxed visit requests for personnel in DISS will be rejected and required to be re-submitted through DISS.

Non-DoD Government/Contractor Instructions:
Visit requests for attendees not having access to DISS must be typed and on your company letter head. You should use the format that is best suited for your
operation; however it must contain all applicable information below. The visit request must be signed by your security office/manager
as to verify your employment and clearance status. Without this signature, the visit request is invalid and will not be processed.
All visit requests must be faxed. Visitors can not hand carry their own visit request.

- Last 4 of social security number
- Date of birth, place of birth and citizenship

CAC Cards will be used for access to the classified sessions. Those attendees without a CAC
were added to a Base Access List, which was required to be submitted 14 days in advance. If you were not on that list (and
do not have a CAC) you will be unable to attend the classified sessions.
For attendees using their CAC for base access, classified visit requests must be
received by DEPS no later than 1500 MST on Friday, 31 March 2023

Note: persons submitting their security clearance for attendance at the classified
sessions will be admitted to the CUI sessions without additional paperwork. You do not need to submit the CUI
visit request below.
Visit Requests for Attending CUI/Distribution C/D Sessions ONLY
Government/contractor attendees holding a security clearance and having access to Defense Information System for Security (DISS) should
send their visit notification via DISS with the information as stated above for those attending Classified sessions.
Attendees without a security clearance and/or access to DISS who wish to attend the CUI/Distribution C/D sessions must submit a
Visit Request Letter as follows. The letter can be in the format best suited for your organization; however it must
contain all applicable information listed below.
The request must be:
- typed and on your company letter head
- signed by your company FSO, immediate supervisor, or program manager who are willing to legally verify the information
- identify you by name as a company employee
- state your citizenship
- include your date of birth and the last four digits of your social security number, and
- state that you work on either Government and/or DoD contracts that gives you a valid need-to-know of CUI Distribution C and/or D information
to be presented at the DEPS Annual S&T Symposium (you may include the contract number(s) here if you choose).
